RULES AND REGULATIONS FOR THE HOME BUILDERS ASSOCIATION OF CENTRAL ARIZONA’S MAJOR ACHIEVEMENTS IN MERCHANDISING EXCELLENCE AWARDS 2018 PRESENTATION

The following are the Home Builders Association of Central Arizona (“HBACA” or the “Association”) Rules and Regulations for the Major Achievements in Merchandising Excellence (“MAME Awards”) for the 2018 Calendar Year (the “Rules”).  These rules are intended to apply to the 2018 calendar year, do not necessarily reflect prior practice or custom, and are subject to change without notice.

  1. Administration

(a) The HBACA shall administer the MAME Awards pursuant to the Rules and Regulations established by the Association.

(b) The HBACA or its designees shall, among other duties, have the sole responsibility for determining eligibility for all award categories.

(c) All decisions of the HBACA concerning eligibility for the MAME Awards and all other matters relating to their administration, including adoption of amendments to these Rules shall be final, binding and conclusive for all purposes.  All decisions of the HBACA regarding the interpretation of any rule as provided herein shall be final, binding and conclusive for all purposes.

  1. Eligibility for Awards

(a) Any member of the HBACA in good standing may submit entries for awards.  Associate members may submit entries directly provided that the entry is a product or service for a builder who is a member of the HBACA and total entries do not exceed two per builder per category.  Persons submitted for individual MAME or Sales Achievement Awards must be an employee of an HBACA Builder member to be eligible for entry for awards.

(b) In order for the HBACA to determine that an entry is eligible in the various categories for a MAME Award, all of the following requirements must be satisfied:

i) the development must be located within Maricopa, Pinal, or Yavapai County (south of the Verde River)

ii) that has completed construction of a model home

iii) and was actively selling product

iv) within the time period of January 1, 2017 through December 31, 2017.

(c) All advertising materials must have been published within the time period of January 1, 2017 through December 31, 2017.

(d) A master planned community is not eligible to enter Categories 1 – 4 and 6 – 15. An individual subdivision within a master planned community is not restricted from entry in any category in which the subdivision is eligible.

(e) The entrant must certify to and on a form provided by the HBACA that the entrant:

(i) fully complied with the Rules of the HBACA regarding the MAME Awards;

(ii) accepts the authority of the HBACA to make all decisions or determinations concerning the Awards as set forth in these rules in its sole and absolute discretion with the effect of any such decision or determination as final, binding and conclusive for all purposes;

(iii) accepts the authority of the HBACA or its designees to vote for the winners of the Awards with the effect of any such vote as final, binding and conclusive for all purposes;

(iv) will fully comply with the Rules of the HBACA regarding the use of the MAME Award trade name and other intellectual property and material, as in effect from time to time;

(v) grants to the HBACA a limited license to use the entrant’s trademarks, trade names, and logo designs in any medium for use in promotional materials, advertising, marketing materials, promotional goods, photographs from the Awards Show or of Show materials and during the Awards Show;

(vi) shall not institute any action, suit or proceeding against the HBACA, its designees, or sponsors for any purpose in connection with the Awards;

(vii) shall indemnify, defend and hold harmless the HBACA, its designees, or its sponsors from and against any and all costs, expenses, damages, liabilities, claims and demands of any kind or nature (including without limitation attorneys’ fees and disbursements and court costs) arising out of any such action, suit or proceeding commenced by such entrant or by any other entrant or entity with respect to any entry or any element thereof; and

(viii) the entrant is the individual with the authority, on behalf of the partnership, company, or other entity to execute and deliver such certification and thereby to bind the entrant.

  1. Number of Entries

(a) Entries will be limited to two (2) per builder, per category, except for Categories 34-40, which are limited to one (1) entry per company, per category.  Categories without entries representing at least two different companies may not be awarded, but may be grouped with another similar category or be eligible for a Special Recognition Award at the sole discretion of the HBACA or its designees.

  1. Entry Deadline

(a) All completed entries, certifications, and fees must be received through the MAME Award’s website, www.mameawardsaz.com, no later than 11:59 p.m. LOCAL TIME on Wednesday, February 21, 2018.  Entries will not be considered complete unless all required elements are received.

  1. Entry Fee

(a) Other than entries for Sales Associates in the Sales Achievements Categories, each entry must be accompanied by a $150.00 entry fee.  The Small Volume Builder and Grand Awards require no entry or entry fee.  Each Sales Associate entry in the Sales Achievement Categories must be accompanied by a $55.00 entry fee.  A single aggregated payment may be submitted for all entries from an entrant.  Entry fees will not be returned for disqualified entries.

  1. Specific Award Category Rules

(a) Awards may, subject to the provisions of these Rules, be awarded in the categories described in the HBACA’s Official MAME Awards 2018 Category List, including those not listed in this section.  All awards must comply with the rules and regulations as outlined by the HBACA in this document.

(b) Best Detached Active Adult Product Design Awards

(i) The specific product entered into this category may not also be entered into Detached Product Design Categories (Category 21 – 25).

(c) Custom Home Awards

(i) Entries must be one-of-a-kind home for which construction was completed and a Certificate of Occupancy was issued between January 1, 2017 and December 31, 2017.

(d) Rising Star of the Year

Discontinued for 2018.

(e) Individual Award Categories

(i) Individual entry forms are to be completed by candidate’s employer or supervisor using the online entry form.

(ii) Candidates will be judged on the information submitted and a personal interview by the judges.

(iii) Candidates may not enter two different Individual Award Categories (example: if a person is entered in the Rookie Salesperson of the Year Category, the person cannot also be entered for Salesperson of the Year).

(iv) Presidents, General Managers, and Executive Vice Presidents are restricted to entry in the Marketing Manager/Director of the Year category only.

(v) A Salesperson or Sales Manager from an independent marketing company that handles sales for a builder is eligible to enter the MAME Awards provided that:

(1) The candidate is an employee of an HBACA member, and the employing builder is a member of the HBACA.

(2) The candidate’s achievements are based on results from only one builder.  An accumulation of builders and subdivisions cannot be used to strengthen the merits of the candidate.

(f) Rookie Salesperson of the Year (Category 35)

(i) Candidates cannot have previously won Rookie of the Year.

(ii) Candidates with any of the following titles or responsibilities are excluded from entering: Sales Manager, Marketing Director, Advertising Manager, Vice President of Marketing, Division Manager, or President.

(iii) Candidate cannot have been a full-time new home salesperson prior to June 1, 2016.

(iv) Candidate must have worked at least six months time during 2017 in the capacity entered and the last three months of 2017 with the HBACA builder member entering the candidate.

(v) Candidate cannot have any previous real estate sales experience.

(g) Salesperson of the Year / Internet Salesperson of the Year (Categories 36, 37, and 38)

(i) Candidate must be employed by a member in good standing of the HBACA.

(ii) Candidate must have had at least six months time during 2017 in the capacity entered and the last six months of 2017 with the builder entering the candidate.

(iii) Candidates with any of the following titles or responsibilities are excluded from entering: Sales Manager, Marketing Director, Advertising Manager, Vice President of Marketing, Division Manager, or President.

(h) Sales Manager of the Year (Category 39)

(i) Candidate must be employed by a member in good standing of the HBACA.

(ii) Candidate must have had at least six (6) months time during 2017 in the capacity entered and the last six (6) months of 2017 with the HBACA builder member entering the candidate.

(iii) Candidate must have the authority to make and implement the HBACA builder member’s sales policy.

(iv) Candidate cannot be entered in Marketing Manager/Director of the Year Category.

(i) Marketing Manager/Director of the Year (Category 40)

(i) Candidate must be employed by a member in good standing of the HBACA.

(ii) Candidate must have worked at least six (6) months during 2017 in the capacity entered and the last six (6) months of 2017 with the HBACA builder member entering the candidate.

(iii) Candidate must be responsible for the marketing department of the HBACA builder member and have the authority to make and implement the HBACA builder member’s marketing and advertising policies.

(iv) Candidate cannot be entered in Sales Manager of the Year Category.

(v) Vice President of Sales and Marketing is eligible to enter.

(j) Small Volume Builder of the Year Award

(i) A Small Volume Builder Award will be presented to the builder with the highest point totals in the designated categories.

(ii) Eligible builders must have had fewer than 100 home closings during the period of January 1, 2017 to December 31, 2017.

(iii) The highest point total attainable is 10 in the Advertising or Individual Categories, 10 in the Interior Merchandising Categories, and 10 in the Product Design Categories, for a total of 30 points.

(iv) Qualified candidates will automatically be entered.

(v) If no builder qualifies, no award will be presented.

(k) Grand Award

(i) The Grand Award will be presented to the builder with the highest point totals in the designated categories.

(ii) To be eligible for the Grand Award, a builder must have entries in Advertising, Merchandising, Design and Individual award categories.

(iii) The highest point total attainable is 10 in the Advertising categories, 10 in the Interior Merchandising categories, 10 in the Product Design categories, 10 in the Individual categories, and 10 for additional entry items for a grand total of 50 points.

(iv) Entries submitted by Associate members on behalf of builders will not be counted toward the Grand Award.

(v) Qualified candidates will be automatically entered.

(vi) The Grand Award winner is not eligible for the Small Volume Builder of the Year Award even if they qualify based on criteria.

(l) Builder Recognition Awards

(i) All HBACA Builder Members have the opportunity to recognize the following individuals within the company:

Administrative Team Member
Construction Team Member
Warranty/Quality Assurance Team Member

(ii) All entries must include a statement describing why these individuals are being recognized and a digital image submitted electronically.

(iii) Entries are limited to 1 per category per HBACA Builder Member.

(iv) All HBACA Builder Members entering at least 3 MAME Categories (1 to 40) will be assessed an entry fee of $55 per individual entry.   If an HBACA Builder Member does not enter at least 3 categories, there will be a regular entry fee of $150 per individual entry.

  1. Materials and Digital Entry Submission Requirements

(a) For each category, entries must be submitted in a single compressed (zipped) folder no larger than 20 mb.  Each folder must be properly labeled.  Folder names must include the MAME category number, builder/company name, and an entry name.

EXAMPLE – “34 – Company Name – Entry Name”

(b) All entries must be submitted in a digital format (.jpg, .mp3, .pdf, .mov, etc.)

(c) For Video and Audio, if there is no source file available, a URL can be provided to the hosted content (YouTube, Vimeo, etc.).  All content must be available and generally accessible until April 22, 2018 or the entrant will be subject to disqualification.

(d) All submissions must include the required materials as listed in on the HBACA’s Official MAME Awards 2018 Category List.  All target marketing concept and objective statements must include explanations and relate to criteria items.  Statements exceeding the maximum word limits will be disqualified.

  1. Judging

(a) The HBACA will select industry experts to judge each entry to determine the winners of each MAME Award category.

(b) All entries in the Individual Award Categories (Categories 35 – 40) will be judged through a private interview with the judges.  Each candidate will be contacted directly to schedule their respective interview.  Interviews will take place March 2018, with specific dates to be provided early in the year.  All candidates for the individual awards must be available for interviews during the announced dates.  Any candidate not attending an interview will be ineligible to win the award.

(c) Interviews for the Rising Star of the Year Award (Category 34) may be required at the sole discretion of the judges once all entries are received.

(d) All judging results will be tabulated and certified by an outside accounting firm.

  1. Trophies and Finalists Plaques

(a) Trophies will be awarded to all category winners.  Additional MAME Awards trophies are available to purchase by winners in each category. MAME Awards Finalist plaques may be purchased as well.

(b) No additional trophies may be ordered for the Small Volume Builder or Grand Award.

(c) Order forms will be available at www.hbaca.org on or after April 22, 2018.
